Campus Funding Sources

The following are funding sources on campus that typically fund RSO events and activities. It’s advisable to contact a particular funding organization to inquire if funds are still available and to obtain their eligibility criteria and application guidelines before applying.

Twice each year the Student Leadership Program offers a presentation on Campus Funding Opportunities, an overview of all funding resources. When specific dates are established, they will be announced through the weekly What's Up email sent to the primary contacts of RSOs and the dates will also be listed on the Student Organization Office (SOO) website under My Leadership Development. (These presentations are not to be confused with ASM's orientations and trainings in the name of the specific grant or fund.)

Funding Chart

To complement the specific information that follows, refer to the 2007-2008 Funding Chart. It’s an easy-to-use comparison chart of six of the major funding sources.

ASM Finance Committee Funded Grants include Event, Operations, Travel, and Open Fund grants. All grant decisions are made by the ASM Finance Committee. The Finance Committee is made up of 9 students; 5 are appointed from among the student body and the remaining 4 are ASM Student Council representatives.

ASM Event Grants

ASM provides funding for events sponsored by Registered Student Organizations. These events must be in the Madison area and open to all University students. Applications requesting $2,860 or less must be received at least four weeks prior to the date of the event. Event Grant applications requesting more than $2,860 must be received at least six weeks prior to the date of the event and will need to be approved by the full student council. Details for applying can be found on the 2007-2008 Funding Chart. Grants are allocated on a rolling deadline basis.

ASM Operations Grants

Recognizing that student organizations play a significant role in the education of UW-Madison students, ASM has established the Operations Grant Fund to support the ongoing organizational needs of student organizations. Printing, postage and office supplies are the major categories of funding. The application deadline is at the beginning of the spring semester for the following year. Hearings are held in March. Details for applying can be found on the 2007-2008 Funding Chart. Grants are allocated once each calendar year.

ASM Travel Grants

The travel support requested must be central to the purpose of the organization. The deadline for this grant is four weeks prior to the date of travel. Requests over $2,125 must be submitted at least 6 weeks prior to the date of departure. The travel fund primarily supports transportation, lodging, and registration fees. All expenditures must adhere to University of Wisconsin travel regulations. Details for applying can be found on the 2007-2008 Funding Chart. Grants are allocated on a rolling deadline basis.

ASM Open Fund

The ASM Open Fund reserves small amounts of support, not to exceed $200, for printing, postage, office supplies, membership dues and advertising. The only criteria are that the student organization is approved as an RSO by SOO, completes an online ASM Open Fund grant application, and attends an ASM Open Fund Training. Organizations can apply online at any time until the funding runs out. See the 2007-2008 Funding Chart for details. The 07-08 application will become available in early Sept ‘07.

General Student Services Fund (GSSF) Grants

SSFC Chair, Alex Gallagher, ahgallagher@wisc.edu Financial Specialist, Rich Sterkowitz, rjsterkowitz@wisc.edu Telephone: (608)265-9020
SSFC Advisor, Heidi Arbisi-Kelm, harbisikelm@wisc.edu
Telephone: (608) 890-0270
Address: 508 Memorial Union

ASM SSFC website: http://www.asm.wisc.edu/cms/content/view/35/202/
for information on the funding process, rules, and regulations, and sample applications.

The Student Services Finance Committee (SSFC) of the Associated Students of Madison (ASM) allocates the General Student Services Fund (GSSF) to various UW student organizations as well as the Unions, Recreational Sports, University Health Services, and the ASM Bus Pass. The GSSF comes from segregated fees, which are paid as a part of tuition.

Securing GSSF funds for a student organization is a two step process: student organizations must first file an eligibility application and then, if found eligible for SSFC funding, must file a funding application. Applying for eligibility status and funding occurs a year in advance. For example the eligibility and funding processes for 2007-2008 have already been completed. In September 2007, student organizations are already applying for 2008-2009 funds. The deadline for the eligibility application for 2008-2009 is August 20, 2007 at noon. The deadline for eligibility applications for 2009-2010 funding is January 25, 2008. The deadline for the End-of-the-Year Report for groups that received funds in 2006-2007 is August 20, 2007 at 4:30 p.m. The deadline for the funding application for 2008-2009 funds is September 14, 2007 at 4:30 p.m. The deadline for funding applications for 2009-2010 will be sometime in early fall 2008.

Download eligibility applications and funding applications, as well as, information on eligibility criteria, budget criteria, hearing processes and more at http://www.asm.wisc.edu/cms/content/view/35/202/ under the Financial section of the website.

If your organization is applying for the first time for a GSSF grant, it is recommended that you talk with the SSFC Chair or the SSFC Advisor to understand the process and to establish an eligibility hearing date.

If your organization has received funding in the past, contact the SSFC chair or the SSFC Advisor to determine if you need to reapply for eligibility status.

Email: jbrown@bascom.wisc.edu
Web: www.secfac.wisc.edu/lectures/lectcomm/

Description: The committee provides financial assistance for bringing distinguished lecturers to campus. Units that are eligible to apply include academic departments, programs, centers and institutes, as well as officially recognized student organizations registered with the Student Organization Office when the lecture is co-sponsored by a department. Topics and speakers must be of interest to undergraduate students. Subjects of interest to upper level undergraduates and graduates will be considered. Speakers to be invited should be of national or international stature.
Restrictions: Honorarium of $0, $300, or $600; one day per diem of $100 in accordance with state travel regulations; and travel reimbursement up to $1,000. All lectures must be readily accessible to the university community (i.e., on campus, on a weekday, open to the public and free of charge). The committee expects that other sources of funding will be explored before applying to the Lectures Committee. The committee will not provide funds for speakers who lecture under contract for commercial agencies or who require large fees.
During 2006-2007, the committee received a total of 66 applications. Three of the 66 were submitted by registered student organizations in co-sponsorship with a university department, seven of which received funding from the committee.
Deadlines: New applications are due on the 15th day of each month. Refer to section III.B. of the Lectures Committee’s Policies and Guidelines document, accessible via the website above, for application submission deadline information.

Web: www.secfac.wisc.edu/knapp/

Description: The committee provides financial assistance to support special projects taking place during the next academic year (i.e., 2008-2009). Units that are eligible to apply include academic departments, programs, centers and institutes, as well as officially recognized student organizations registered with the Student Organization Office when co-sponsorship with an academic department has been obtained. Projects should have an impact on the educational and cultural life of the university community. Undergraduate students primarily, and secondarily the student body at large, are the target audience of the projects.

During 2006-2007, the committee received a total of 31 applications. Three of the 31 were submitted by registered student organizations in co-sponsorship with a university department, three of which received funding from the committee.
Deadlines: Once each year, usually in October. Contact the Office of the Secretary of the Faculty to inquire about the specific deadline date and to obtain instructions for applying.

UHS believes a connected, collaborative campus is a healthier campus! To that end, UHS has established a grant to encourage collaboration between Registered Student Organizations called the Collaboration Mini Grant.
Who is eligible? Any combination of two or more UW-Madison Registered Student Organizations are eligible. Because the purpose of this grant is to help students build a stronger campus community, collaborations with outside groups are not eligible. Priority goes to projects with diverse partnerships (e.g., an RSO from the School of Education collaborates with an RSO from Engineering). This grant does not support co-sponsorship. Grant sizes range from $100-$500.
UHS believes when RSOs collaborate on shared goals, groups build new connections that will serve them well into their future.
For more on the Collaboration Mini Grant, and more about what we mean by “collaboration,” check out our website: http://www.uhs.wisc.edu/home.jsp?cat_id=110

This week-long celebration of the end of another school year, the arrival of spring and the spirit of the University of Wisconsin-Madison, is a great way for students and campus organizations to come together in the biggest party on campus of the year. In order to encourage broad participation from the campus community, WASB makes available event grants for programs and events planned, hosted and implemented during ACP. Student organizations can receive reimbursement for their event up to $300 (grant size may vary depending on the specific year, program, etc.).

UW System Institute on Race and Ethnicity

(The Call for Support Grant Proposals for the upcoming 2007-08 fiscal year is now closed. We invite you to return to this site in mid-January 2008 to view the call for the 2008-09 fiscal year. We do not expect the language or criteria to change significantly.)
Four categories of grant opportunites are made available by the UW System Institute on Race and Ethnicity each fiscal year. Below is a brief description of each category. For a more complete explanation of each category, including eligibility, format requirements, and deadlines, click on the grant title.
________________________________________
Due Date: "Hard copies" of your proposal must be sent to the Institute office and postmarked no later than Monday, April 9, 2007. This deadline is firm! Proposals postmarked after that date will be returned unread to submitters.
Copies: Eight (8). Attempt to use a single staple to assemble each copy, including any appendices or attachments.
Eligibility: Varies for each of the four categories. See inside for specific details.
Funding: Maximum dollar amounts vary for each funding category. The Institute reserves the right to partially fund a proposal. Depending upon the budget request and Institute decisions, the transfer of grant funds will be made under three categories of use: (i) salaries/personnel; (ii) supplies-and-expenses; and (iii) student hourly help. (If funds for salaries/personnel are included, the receiving campus/department is responsible for any relevant fringe benefits.) Funding decisions will be communicated to applicants by the week of June 18, 2007. Award monies will be transferred to the appropriate campus and department via a budget transfer after the start of the 2007-08 fiscal year. Grant funds must be encumbered and fully utilized prior to the end of the 2007-08 fiscal year, i.e., June 30, 2008. Any portion of the award not to be used for the purposes intended must be returned to the Institute by May 9, 2008, or the campus/department will be responsible for reimbursing the Institute for the unused amount in the subsequent fiscal year (FY 2008-09). The likelihood of funding will be enhanced if your proposal includes collaboration between faculty/staff of more than one UW System campus, and/or the integration of other UW System grant initiatives such as those from Professional and Instructional Development (OPID) and Learning and Information Technology (OLIT). See: www.uwsa.edu/acadaff/grants/grntprg.htm
Final Reports: Written final reports, including a thorough accounting of expenditures, will be due for all Category A, B, and C Grants no later than June 30, 2008. We will be particularly interested in any impact or outgrowth that the grant has generated. Those who have not submitted final reports for any previous grants funded by the Institute are ineligible to apply. See the section on Faculty Diversity Research Awards for information on their final reports.
Other Information: Applicants are responsible for checking on individual campus procedures regarding the submission of grants before sending their proposals directly to the Institute. The decisions and evaluations of the Institute’s reading committee are considered final and confidential.
